Learner Terms And Conditions
Conditions of Contract: – In these Conditions of contract the following definitions apply:
• “Company” refers to OnBoarding Group Limited
• “Learner” refers to the individual entering in to contract with the Company via the acceptance of these terms and conditions
• “Cohort” a course delivered or organised by the Company
• “Contract” the legal contract between the Company and the Learner for the purchase and supply of a service in accordance with the terms within the conditions of contract
• “Booking” the confirmation by a Learner of their purchase request and acceptance of our conditions of contract
• “Tutor” refers to the individual invited to teach, facilitate, or deliver a presentation
Learner Terms And Conditions
1. Making a Booking
1.1 Enquiries for a Cohort booking can be made via the website (www.onboardingofficers.co.uk), email or telephone.
1.2 A booking form along with Cohort dates, deposit fee invoice and any other relevant information will be issued to the Learner by the Administrative Team.
1.3 To reserve your place before processing full payment for the course or processing your ELC application, a £100.00 deposit must be made. The deposit fee must be paid by Learners using ELCAS or those self-funding. The details of how to make payment can be found on the deposit fee invoice or by contacting the Administrative Team at info@onboarding-group.com.
ELC funded applicants:
1.4 If the Learner is claiming funding via The Enhanced Learning Credit scheme applications must be made 25 days prior to the Cohort start date.
1.4.1 The Company will only confirm a booking once the Administrative Team has received the original CAN (form ELC 005.02) and 20% personal contribution from the Learner.
1.4.2 Personal contributions must be paid at least 30 days prior to the start date of the Cohort.
Self-funding applicants:
1.5 The booking will be deemed accepted upon receiving a completed booking form and full course payment from the Learner.
1.5.1 The Company will issue written acceptance via email of the Booking, at which point the Contract shall come into existence (Date of Commencement). A confirmation will be sent to the Learner within 72 hours of making a booking/payment.
1.5.2 The cost of the course must be paid in full at least 30 days prior to the start date of the Cohort.
1.6 All Learners must observe and comply with these terms and conditions set out under the conditions of contract.
1.7 Registration Information will be sent to registered Learners by email at least seven days prior to the Cohort. If a Learner has not received the registration information, they should contact the Administrative Team by email or telephone.
2. Payments
2.1 The Company shall invoice the Learner in advance of the Cohort. The Learner shall pay each invoice submitted by the Company in advance of the Cohort and no later than 30 days of the start date of the Cohort registered onto.
2.2 All Bookings must be paid in full to guarantee entrance to the Cohort (this includes personal contributions with the presentation of a CAN document or those self-funding).
2.3 Without limiting any other right or remedy of the Company, if the Learner fails to make any payment due to Company under the Contract by the due date for payment (Due Date), the Company has the right to cancel the Learner’s attendance on the Cohort. If the Learner was using the ELCAS scheme and provided their CAN document, this will be rejected and not claimed by the Company.
2.4 The Learner shall pay all amounts due under the Contract in full without any deduction or withholding except as required by law and the Learner shall not be entitled to assert any credit, set-off or counterclaim against the Company in order to justify withholding payment of any such amount in whole or in part.
3. Learner Cancellations, Transfers, and Non-Attendance
3.1 All cancellations must be sent in writing by email to info@onboarding-group.co.uk.
ELC funded applicants:
3.2 Cancellations received 35 calendar days or more before the course start date will be entitled to a full refund of their personal contribution, minus the £100.00 deposit. If the CAN document has been received this will not be processed as per The Enhanced Learning Credit Scheme’s Terms and Conditions.
3.3 Cancellations received between 26 and 34 calendar days (inclusive) before the course start date will receive a 50% refund of the personal contribution fee – this figure includes the £100.00 deposit. If the CAN document has been received this will not be processed as per The Enhanced Learning Credit Scheme’s Terms and Conditions.
3.4 Cancellations received 25 calendar days or less (inclusive) before the course start date will not be entitled to a refund of the personal contribution fee. If the CAN document has been received this will not be processed as per The Enhanced Learning Credit Scheme’s Terms and Conditions.
3.5 Failure to attend the course after the first Cohort date will not be entitled to a refund and will have to adhere to The Enhanced Learning Credit Scheme’s Terms and Conditions.
Self-funded applicants:
3.6 Cancellations received 35 calendar days or more before the course start date will be entitled to a full refund of the course cost, minus the £100.00 deposit.
3.7 Cancellations received between 26 and 34 calendar days (inclusive) before the course start date will be charged a £250.00 administration fee – this figure includes the £100.00 deposit.
3.8 Cancellations received 25 calendar days or less (inclusive) before the course start date will be charged a £500.00 administration fee – this figure includes the £100.00 deposit.
3.9 Failure to attend the course on the first Cohort day will be treated as late cancellation and no refund will be given for the total cost of the course (£2,500.00).
Please note: every effort will be made to avoid unnecessary changes to course arrangements. In the unlikely event that a course has to be cancelled please refer to section 4.
4. Alterations to Programme, Cancellation or Postponement of Cohort
4.1 The Company reserves the right to make alterations to the Cohort programme, venue, and timings. Should the Company be unable to deliver any classroom-based course because of government restrictions, advice or social distancing, we reserve the right to postpone the Cohort or run the scheduled Cohort via a virtual classroom environment.
4.2 In the unlikely event that the Company cancels a Cohort and does not reschedule, the Company will refund any pre-paid booking fees and not process any CAN documents. Liability will be limited to the amount of the booking fee paid. The Company shall not be liable for reimbursing the cost of travel or accommodation arrangements made by individual Learners.
Please note that we cannot offer refunds where Cohorts are cancelled because of events outside of our control. Alternate dates will be provided. The Company shall not be liable for reimbursing the cost of travel or accommodation arrangements made by individual Learners.
4.3 If re-arrangement of the Cohort can take place, the booking between the Learner and the Company shall remain in force and will be subject to the existing Learner Cancellations, Transfers, Substitutions, and non-attendance terms set out under Section 3.
4.4 If, for whatever reason, it is found necessary to postpone or change the date of the Cohort, the Company shall not be liable for any expenditure, damage or loss incurred by the Learner.
4.5 Tutors’ views expressed at a Cohort are their own. The Company cannot accept liability for advice given, or views expressed, by any Tutor at the Cohort or in any material provided to Learners and Learners.
5. Special Requirements
5.1 Learners should advise of any special requirements at the time of Booking including dietary, access and visual and audio support.
6. Photography, Filming And Social Media
6.1 For promotional purposes, there may be a professional photographer, videographer taking place during the Cohort.
After course completion, Learners with social media accounts could be automatically tagged in a course completion post on our respective social media channels.
Learners who do not wish to be filmed or recorded, published, or tagged on social media should advise the Company in advance and in writing.
7. Data Protection and Personal Data
7.1 OnBoarding Group Limited is the Data Controller and Data Processor of any personal data you supply. The personal data you supply will be used to process your booking.
7.2 By submitting registration details, Learners agree to allow the Company, Tutors and partners associated with the Cohort to contact them regarding their booking.
7.3 We may use personal details, provided by registered Learners, in the production of course materials and literature including course materials, joining instructions and Learner attendee lists.
7.4 Learner Attendee Lists may be provided to Tutors, venue hosts, and sponsors for the purpose of Cohort administration, safety, networking, and activity deemed necessary for the successful delivery of the Cohort.
7.5 You will receive Learner and customer communications (by e-mail and telephone) in connection with your booking.
7.6 We do not pass data to any third party without consent. However, please note that by registering for a Cohort you consent to us processing your data to enable us to deliver the service you have purchased. This may involve passing your details on to our partners including Tutors, facilitators, partner educational providers, and partners that support us with the delivery of our services.
7.7 You have the right to object to your data being used for specific purposes. If you have a specific objection, please email us at info@onboarding-group.co.uk with the subject line ‘Data protection’.

8. Insurance
8.1 It is the responsibility of the Learner to arrange appropriate insurance cover in connection with their attendance at the Cohort. The Company cannot be held liable for any loss, liability, or damage to personal property.
9. Force Majeure
9.1 The Company is relieved of all its obligations if any act is outside the Company’s control and impact the Company’s ability to deliver the Cohort including acts of god, danger of war, fire or severe disturbances affecting the organisation, venue or its suppliers.
10. Admission And Right Of Entry
10.1 The Company and/or venue host reserves the right to refuse admission and to remove persons from the premises for any reason where necessary. The Company and/or venue host may also have to conduct security searches to ensure the safety of persons at the Cohort.
10.2 By booking a training course with the Company, the Learner agrees to a adhere to any COVID policies in place at the venue where the Cohort is taking place. This could include temperature checking, the request of a COVID Passport and/or negative test result etc. Should the staff at the venue, Tutors or Administrative Team feel necessary, they have the right to refuse entry to the Cohort. The Company shall not be liable for reimbursing the cost of travel or accommodation arrangements made by the Learner.
10.3 If the Learner develops COVID symptoms whilst at the Cohort, the Learner must notify a Tutor or a member of the Administrative Team by emailing info@onboarding-group.com or calling 0204 5378049. The Company will ask the Learner to leave the premises and perform a COVID test. The Learner must notify the Company of the result immediately. The Company shall not be liable for reimbursing the cost of the course, travel or accommodation arrangements made by the Learner.
11. Revisions
11.1 The Company reserves the right to revise these Conditions at any point.
11.2 This policy will be reviewed annually by the Management Team.
